FutureTrack ("the System," "we," "us," or "our") is an alumni tracking and job placement platform developed for STI College Novaliches to connect graduating students, alumni, and partner companies. This Privacy Policy explains how we collect, use, store, and protect your personal information.
1.1 Information We Collect
We collect the following categories of information depending on your role in the System:
- Graduating Students / Candidates: Student number, full name, batch/year, course/program, and school email address (imported from official school records).
- Alumni: All the above, plus employment status (self-employed, employed, unemployed), personal email address, and any information you choose to update on your profile.
- Partner Companies: Company name, authorized representative details, contact information, and job posting content.
- Account Data: Login credentials, one-time passwords (OTPs) for verification, and account activity logs.
- Application Materials: Curriculum vitae (CV) or resumes submitted through the System when applying to job postings.
1.2 How We Use Your Information
Your information is used to:
- Verify your status as a graduating student or alumnus/alumna and tag your account accordingly.
- Display relevant job postings based on your course or program.
- Notify you (via the portal and/or email) when new job postings are added.
- Allow partner companies to view submitted CVs/resumes for job openings they have posted.
- Maintain accurate alumni records for institutional reporting and tracking purposes.
- Improve the functionality, design, and user experience of the System (e.g., through periodic surveys).
1.3 How We Share Your Information
- With Partner Companies: Your CV/resume and relevant profile details are shared with a company only when you actively apply to a job posting.
- Within the Institution: Aggregated or individual alumni data may be shared internally (e.g., with the Alumni Placement Office or "APO") for tracking and reporting purposes.
- We do not sell your personal information to third parties.
1.4 Notifications
- Graduating students/candidates receive notifications about new job postings through the portal only, since they remain actively connected to the institution and may coordinate directly with the APO for inquiries.
- Alumni receive notifications both through the portal and via their registered personal email, since they are no longer directly connected to the institution.
1.5 Data Retention and Security
We retain your information for as long as your account remains active or as required for institutional record-keeping. We implement reasonable safeguards (such as OTP verification and forced password changes on first login) to protect your account from unauthorized access. However, no system is 100% secure, and we encourage you to keep your login credentials confidential.
1.6 Your Rights
You have the right to:
- Access and review the personal information we hold about you.
- Request correction of inaccurate or outdated information.
- Request account deactivation, subject to institutional record-keeping requirements.
